Guest Rental Agreement


Check In 

4:00 pm or after, on rare occasions housekeeping and maintenance may need additional time to prepare your property.

Arrivals after office hours: please contact our office for lock box code. The directions to our office where you will pick your keys were emailed to you.

Your Vacation rental packet and key pick up location is the office closest to the property you are renting.   If you would like to pick your keys up at an alternate office, please let us know 1 week in advance.


Check Out

10:00 am on designated day of departure. Keys must be returned back to Southern Coast Vacations office.

If keys are left in unit, we will charge a $25.00 pick up fee. This refers to pool keys as well.

Pool Wrist Bands or any swipe cards given are $100 each, if not returned. 

There will be a charge of $50 for each lost key.



I agree to pay 25% of the reservation amount to confirm my reservation. Balances are due 30-60 days prior to arrival depending on the location. Southern Coast Vacations utilize automatic payments; you will receive an email reminder 7 days prior to your next payment due, and again the day before.  The credit card you used to reserve the property will automatically be charged.  If you need to change any credit card details, you may do so once you receive the email reminder that payment is due and by logging onto the guest portal.  You may also call our office and speak with a vacation representative, 1-800-978-4988.


You may pay with check if you prefer. All Checks must be received 60 days prior to arrival.  The Credit Card deposit is necessary when your arrival is within 30 days. I agree to pay a $50.00 fee for any returned checks. No checks will be accepted upon check in.



If you must cancel, your reservation deposit will be refunded, less $250.00, ONLY if the same unit is re-rented for the same days and the same dollar amount as your original reservation. If we are unable to re-rent the unit, all payments will be forfeited. Reservations are nontransferable; requesting to change or transfer a reservation to another home, date, or person is deemed a cancellation of the current reservation. Guests shall not assign their rental agreement or sublet the home, in whole or in part.  We cannot make substitutions or refunds for early departures and no show reservation.



Optional Travel Insurance

Generali Travel Insurance has been offered with your reservation.  Vacation Rental Insurance reimburses for pre-paid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation and force you to incur unplanned expenses due to evacuation, serious illness, or death of a family member.  Although travel insurance is optional, we strongly recommend you purchase this valuable protection for your vacation investment.  Please note that once purchased, after 10 days the cost of the travel insurance is non refundable.  For more information, please visit:

Hurricane or Storm Policies

No refunds will be given due to inclement weather conditions, mandatory evacuations or power outages. We strongly recommend purchasing the optional travel insurance we offer through Generali Travel Protection.


Repairs and Maintenance

Southern Coast Vacations is here to make sure your vacation property is in the best condition that it can be. If you should discover otherwise, please report it to us immediately and we will correct it as quickly as possible. Check out is NOT the proper time to let us know about problem/ experiences during your stay. We cannot issue refunds for mechanical breakdowns, inability to connect to the internet, or cleanliness issues. In order to make timely repairs or inspections, Southern Coast Vacations personnel or representative shall have the right to enter the property between 10am – 5pm.

Locked Out?

During business hours, drop by our office for another key. Please bring the key back to us when you check out.

If locked out after hours, please call 1-800-978-4988 and listen for the emergency prompt.  We will send a locksmith to assist you.  All costs associated with the locksmith will be the responsibility of the renter.  You will be responsible for payment to the locksmith for his services.


Internet Services

Wifi is available at all of our vacation rental properties and can be accessed through selecting the network and password (if needed) posted on your arrival packet.  This service is provided by either the individual home owner or HOA at no cost to the guest.  While we make every effort to ensure that is service is operational during your stay, problems can occur; as these are out of Southern Coast vacations, the home owner’s, and the HOA’s control, no refunds will be given should this service become unavailable or interrupted during your stay.


Our vacation rental properties are all privately owned and reflect the individual tastes of the owner. We cannot make changes to furnishings or equipment. Likewise, the property is subject to change without notice or compensation.

I understand that a peaceful, quiet atmosphere is expected and enjoyed by other residents and guests of the property. I will refrain from loud noise after 10:00 PM. I will abstain from hanging towels and clothes from railings and balconies.

House parties and groups are not permitted in Southern Coast Vacations property rentals. We do not rent to non-family, groups unless all members are 25 years of age or older. Violators of this regulation will be subject to eviction without refund. 

All properties are inspected before, and after each rental. Rental guests have full financial responsibility for all damages due to misuse, willful misconduct, negligence, or missing items.


Peace of Mind Fee

All reservations will be charged a Peace of Mind fee between $49 and $99 based on the size of the condo. It is used for unintentional damages; this fee will automatically be added to all reservations at the time of booking.  This fee only covers unintentional damages that are disclosed to management prior to check-out.  The piece of mind protection will pay a maximum benefit of $1000.  Any damages that exceed $1000 or are not covered under the plan will be charged to the credit card on file.  If, during your stay at one of our rental properties you or your guests cause any damages to real or personal property of the unit as a result of inadvertent acts or omissions, the Peace of Mind fee will cover the cost of the repair or replacement of such property up to $1000. DAMAGES MUST BE REPORTED PRIOR TO CHECK OUT IN WRITING IN ORDER FOR SOUTHERN COAST VACATIONS TO REPAIR OR REPLACE SAID DAMAGES; UNREPORTED DAMAGES WILL BE THE SOLE RESPONSIBILITY OF THE GUEST.

Peace of Mind does NOT cover:

Intentional acts, gross negligence, or willful conduct

Evidence of or damage caused by pets

Damage and or theft of unauthorized individual or groups

Any damages not reported prior to check out

Loss of use, due to cancellation, early departure, etc.

Excessive cleaning costs (such as incomplete checkout duties)

Any damage caused by violation of Southern Coast Vacations rental agreement or any act that violates local, state, or federal laws

Acts of God, weather related such as hurricanes, lightening, storms, etc.


Maid Service and Cleaning

We provide departure cleaning for you (unless otherwise noted). Daily maid service is NOT included in your rental rate. The provided departure cleaning does not permit a guest to leave a rental in poor condition. The properties should be in the same condition they were in when you arrived as you depart. Guests will be held responsible for additional cleaning charges incurred if a rental is left in poor condition. The linen package it is a one time service; $35 per bed.  You will need to launder your sheets and towels during your stay.  Rental properties are equipped with a vacuum cleaner, broom, and mop for use during your stay. You will need to bring your own cleaning supplies, trash bags, toilet tissue, toiletries, laundry soap, dishwashing liquid, etc.


Departure Guidelines & Guest Responsibilities:

 In order to avoid extra charges, guests are required to complete the following:

Check out by 10:00am on the date of departure as stipulated in this agreement.

A fee of $100 will be charged should the property not be vacated promptly at 10:00am causing a delay to the cleaning crew.

Load all dirty dishes in dishwasher & run. A fee of $150 will be charged for dirty dishes.

Take out all trash and push cart(s) to curbside.  A fee of $100 will be charged for trash take- out.

Empty fridge & freezer.

Place all towels in linen bag.  A $20 fee will be charged per piece of missing or destroyed linens.

Please leave all pillows, mattress pads, and bedspreads on beds- if soiled, leave beside linen bag.  A fee of $100 will be charged for each stained or destroyed bedspread.

Leave all outside areas, including pool deck, parking area, porches, shower, and grill clean.  A fee of $50 will be charged for any trash clean-up at outside areas.

Depending on weather, leave AC on 75 or Heat on 55.

Leave all lights, fans, televisions, etc. off.

Double check the rental for your belongings – We are not responsible for lost or left behind items.

Lock doors and return keys to our office or after hour’s lockbox, if applicable.


Furniture and Linens

Please do not rearrange furniture or carry bed spreads, blanket, pillows, sheets or furniture to the beach. There is a $100 fee if we need to move furniture back into place.


Pet Policies:

Approved pet friendly properties are charged a $100.00 pet fee ($250.00 at some locations). Having a pet(s) in a non-pet friendly property is a violation and material breach of the Rental Agreement and is grounds for eviction without refund and a $500.00 fee will be charged to the credit card on file. Pet friendly properties do have breed and weight restrictions; these restrictions are based on the Homeowner Association Regulations or the individual homeowner and are written in the description of the property. Dogs are not permitted on furniture or on beds. Additional cleaning charges will incur for pet hair on beds and furniture. 

 Pet fees are non refundable.


 I agree to abide by all pool, tennis court, parking, and other Homeowner Association/ Homeowner regulations and policies.  Parking is limited to the number advertised for your unit.  I understand that Southern Coast Vacations is not responsible for parking extra vehicles, towing, or parking tickets.   


All units are Non-Smoking, Smoking is NOT allowed on balconies. If a guest smokes in a unit, a $500.00 air quality fee will be charged to the guest plus any other costs incurred to clean the premises. This fee will be charged to the credit card on file.


Waiver and Release from Liability for use of Property:

I agree to waive and release, indemnify, hold harmless and forever discharge The Agent and  Legal Owners of the Property and its members, employees, officers, affiliates, of any and all claims, demands, debts, contracts, expenses, causes of action, lawsuits, damages, and liabilities of every kind and nature, whether known or unknown, in law or equity.

To assume any risk, and take full responsibility and waive any claims of personal injury, death, or damage to personal property associated with the use of this property, and its equipment in any manner, form or fashion, and practicing and or engaging in swimming/diving or any water activities or other related activities on the premises.

The owner and agent are not responsible for the damage, loss, or theft of personal property, including but not limited to automobiles, motorcycles, personal items, and cash.


Covid disclaimer

By accepting this rental agreement you are acknowledging that an inherent risk of exposure to COVID-19 exists in any public place where people are present. By staying at one of our properties, you and any guests voluntarily assume all risks related to exposure to COVID-19 and agree not to hold Southern Coast Vacations, Inc.or the property owner(s) liable for any illness or injury.
